To support our Mediation Program, we are looking for an:

Administrative and Finance Officer (80-100%) 

Starting date: 1 November 2024 or by agreement
Location: Basel, Switzerland

The swisspeace Mediation Program provides high-quality support to ongoing peace mediation and dialogue processes, giving advice to mediators and conflict parties, providing capacity building for civil society actors, and running inclusion formats. Our experts offer dialogue and mediation training and develops knowledge products based on critical reflections and lessons from peace mediation, negotiation, and dialogue processes. We conduct cutting-edge research aimed at influencing scholarly debates and informing peace mediation practice. 
The Administrative and Finance Officer supports the Mediation Program and is administratively part of the Central Services Team. 

Your tasks
Finances 
  • Manage the accounts of projects and corresponding payment transactions in line with the respective grant agreements.
  • Provide financial and administrative support to implementing partners (remotely).
  • Record expenses in the accounting system, conducting controlling tasks and ensuring periodical financial reporting to donors.
  • Prepare the financial and administrative documents of projects for external audits.
  • Acquisition support: support preparation of budget and other relevant documents for project proposals.
 
Event and travel management 
  • Support project teams with travel arrangements (visa, travel, insurance, accommodation) 
  • Provide logistical support for workshops and conferences.
Your profile
  • Education in the field of business administration (BA) or commercial training
  • Knowledge of financial accounting; knowledge in event management is an asset
  • Work experience is an asset
  • Experience with Microsoft Dynamics Business Central is an asset
  • Good command of English (C1 or higher) and understanding of German (B1-B2 or higher)proficiency in Arabic and/or French and/or Spanish are important assets
  • Cultural sensitivity and strong communication skills
  • Strong organizational skillsreliability and paying attention to detail
  • Excellent MS Office skills
  • Availability for occasional travels
